This policy explains what information we collect when you interact with our website, products, and support channels, how we use it, and the choices you have.

We wrote this in plain language. If anything is unclear, email contact@vconic.com and we will explain.

Who this applies to

This policy covers:

  • Visitors to vconic.com and its subdomains
  • Customers using Vconic products and services
  • People who contact Vconic support by email, phone, or SMS
  • People who reach out through forms, demos, or the Contact page

It does not cover third-party websites we link to. Those have their own policies.

Information we collect

Information you give us directly. Your name, business email, company, phone number, and anything else you type into a form, demo request, or support message.

Information from your use of our products. Account identifiers, configuration data, usage logs, and the conversational data you choose to process through the Vconic platform under your own customer agreement.

Information collected automatically on our website. IP address, browser type, device type, pages viewed, referrer, and similar standard request metadata. We use this for site analytics and security.

Cookies. We use a small number of cookies for session state and analytics. You can disable cookies in your browser; some site features may not work without them.

How we use information

We use the information we collect to:

  • Operate, maintain, and improve the Vconic platform and website
  • Respond to support requests, sales inquiries, and demo requests
  • Send transactional communications about your account, security, or service changes
  • Detect and prevent abuse, fraud, and security incidents
  • Meet legal, tax, and regulatory obligations

We do not sell personal information.

SMS communications

Vconic provides an active customers' support phone number in onboarding materials and troubleshooting documentation. When a customer texts that number, they initiate a support conversation with Vconic and consent to receive SMS replies from our support team.

Vconic uses SMS solely to respond to customer-initiated support requests. We do not use SMS for marketing, promotional outreach, or automated broadcasts. Phone numbers collected through SMS support are not sold, rented, or shared with third parties for marketing purposes, and SMS opt-in data is not shared with third parties for any purpose.

Message frequency varies based on the customer's support needs. Standard message and data rates may apply. Customers may opt out at any time by replying STOP, and may request help by replying HELP. For questions about our SMS practices, contact contact@vconic.com.

How we share information

We share information only in these situations:

  • Service providers who help us run Vconic (hosting, communications infrastructure, analytics, payment processing). They are bound by contract to use the information only to provide their service to us.
  • Customer-directed sharing when a Vconic customer configures the platform to send conversational data to a destination they control.
  • Legal requirements when we are required by law, subpoena, or valid government request, or when we believe in good faith that disclosure is necessary to protect Vconic, our customers, or the public.
  • Business transfers in the event of a merger, acquisition, or sale of assets, in which case we will notify affected customers.

We do not sell or rent personal information to third parties for advertising.

How long we keep information

We retain information for as long as needed to provide our services, comply with our legal obligations, resolve disputes, and enforce our agreements. Customer conversational data is retained in accordance with the terms of the applicable customer agreement.

Security

We use industry-standard technical and organizational safeguards to protect the information we hold, including encryption in transit, access controls, and audit logging. No system is perfectly secure, and we cannot guarantee absolute security.

Your choices and rights

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Delete information, subject to legal retention requirements
  • Opt out of marketing communications
  • Opt out of SMS communications at any time by replying STOP

To exercise these rights, email contact@vconic.com from the address associated with your information. We will respond within the time required by applicable law.

International users

Vconic is based in the United States. If you access our services from outside the U.S., your information will be transferred to and processed in the U.S. under U.S. law.

Children

Vconic is not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact contact@vconic.com and we will delete it.

Changes to this policy

We will update this policy as our practices evolve. When we make material changes, we will revise the effective date at the top and, where appropriate, notify customers directly.
